Overview

Brief

Tasked with rebuilding the outdated George Brown counsellor booking app to reduce the amount of student no-shows, and improve student access to industry/program specific counselling.

How Might We?

Personas

Through the analysis of provided user interviews it was discovered that students needed a more straightforward booking system with the ability to book industry specific counselling.

The needs and, pain points for the current GBC counsellor booking app are outlined below for each persona, generally the main issues include:

Streamlining booking process, resolving location confusion, and assistance in job specific internships/work placements.

User Flows

Booking Appointments

The appointment booking system at George Brown College was revamped to tackle issues of confusion, inefficiency, and location-related problems. By adopting a user-centred approach, our new design allows students to easily choose their preferred campus and counsellor, along with desired appointment times.

We also introduced a notification feature to remind students of their appointments. This enhanced flow increases options for users, offers detailed appointment information, and greatly reduces no-shows, leading to a more efficient and student-friendly experience.

Cancel/Reschedule

We've redesigned the process for canceling and rescheduling counsellor appointments, addressing its previous complexity and inaccessibility. Now, the options to cancel or reschedule are easily found under "Appointment History," making them more discoverable.

This streamlined approach smoothly integrates the tasks of canceling and rescheduling, and enhancing overall accessibility. With this improvement, George Brown College aims to increase user retention, simplify the procedure, and foster student success by encouraging those considering cancellation to opt for rescheduling instead.

Scope/Structure

We limited the initial scope to an iOS app. And aimed to make the designs as realistic as possible—that meant considering the practicalities of the structure and elements for (hypothetical) development. Images must swap out cleanly, edge cases would be planned for, and business needs should be considered as well as user needs.

Our goal statement was set out to:

The app would let users who are unhappy with the booking system, streamline thier process by way of offering easy to filter options for their specific needs, presenting campus locations, offering reminders for students, and allowing for cancelling/reschedule of appointments.

Design System

Following a design system established a consistent design language, that allowed for easy user navigation, and reducing cognitive load. Addionally, the system provides a libary of reusable components, patterns, and guidelines to save us time and effort especially because of the short turnaround time. While also giving our team streamlined collaboration whereby there was one set of rules everyone could follow, and reduce the chance of inconsistencies.

Learnings

Taking the lead on this project allowed us to venture into the design process even for just a small duration of time. Understanding that the steps involved aren’t the end all, be all of design thinking helped our team be agile in a tight turnaround time. Moreover, because of the small window of oppourtunity we had to accept all our ideas couldnt be delivered for the final product.  And finally, with less than 4 weeks of time any sort of iterative development would have starved our precious working hours.
